How to use the free estimate generator
- Add your business details and logo. Name, address, phone, email and tax number go at the top. Upload a PNG, JPG or WebP logo — it is resized and cleaned in your browser. If you already use our invoice generator with saving on, your details are filled in for you.
- Choose Estimate or Quote and set how long it is valid. The number switches between EST- and Q- automatically. Pick 7, 14, 30 or 60 days, or a custom “valid until” date.
- Describe the client and the job. Add the client, the service address if it is different, and a short scope of work: rooms, tasks, square footage and frequency.
- Add line items and optional add-ons. Use quick-add buttons for cleaning services, then set quantity and rate. Tick Optional add-on for extras like inside the fridge or interior windows — they appear in a separate block and are not added to the total.
- Set discount, taxes and a deposit. Add one or two taxes and, for bigger jobs, a deposit to book as a percentage or a fixed amount. The estimate shows the deposit and the balance on completion.
- Download, print or convert. Get a PDF with an “Accepted by” signature block, or print it. When the client says yes, click Convert to invoice — everything except the optional add-ons opens in the invoice generator.
What a cleaning estimate should include
A good estimate answers the client’s questions before they ask them — and protects you if the job turns out bigger than expected.
| Field | Why it matters |
|---|---|
| “Estimate” or “Quote”, a number and the date | Lets you and the client refer to one specific offer — and match it to the invoice later. |
| Your business name, contact details and logo | Looks professional and tells the client exactly who to call with questions. |
| Client and service address | Owners, tenants and property managers are often different people at different addresses. |
| Scope of work | Rooms, tasks, square footage and frequency. This is what the price is based on. |
| Line items with quantity and rate | Shows how the price was built, so there is nothing to argue about. |
| Optional add-ons | Lets the client upgrade without asking for a new estimate — and raises your average ticket. |
| Taxes, total and deposit | Show each tax separately, the full price and what is needed to book the date. |
| Valid until date | Protects you from old prices and gives the client a reason to decide. |
| Exclusions and terms | What is not included and what happens if the scope changes. |
| Acceptance and signature | A signed estimate is a clear yes — and a record of what was agreed. |
Estimate vs quote vs bid: what is the difference?
People use these words loosely, but clients often read them differently:
- Estimate — an informed guess of the price. The final amount can change if the job turns out different from what you expected. Good when you have not seen the home yet.
- Quote — a fixed price for a clearly defined scope, valid for a set time. If the scope stays the same, the price stays the same. Good after a walkthrough or for standard packages.
- Bid — a price you submit to compete for a job, usually commercial or post-construction work, often in a format the client specifies.
Tips to win more estimates
- Reply fast. The first business to send a clear, professional estimate often wins the job. Aim for the same day.
- Offer good, better and best. Give a core price and add a few optional add-ons — inside the oven, fridge, windows, baseboards. Many clients choose at least one, and the decision becomes “which option” instead of “yes or no”.
- Set a validity period. 14 or 30 days protects you from old prices and gives the client a gentle reason to decide.
- Ask for a deposit on big jobs. Move-out, post-construction and first deep cleans are worth securing with 20–30% up front.
- Follow up. A friendly message two or three days after sending wins jobs that would otherwise go quiet. A second one before the estimate expires often closes the rest.
- Make yes easy. Add an “Accepted by” block so the client can sign and send it back — or use DailyCRM to let clients approve online.
Example: a move-out cleaning estimate with add-ons and a deposit
A cleaning company quotes a move-out clean of an empty 2 bed / 1 bath apartment, offers two optional add-ons and asks for a 25% deposit to book. Sales tax is left at 0% here — check whether cleaning is taxable where you work.
- Move-out cleaning, 1 visit × $320 = $320.00
- Inside oven, 1 × $45 = $45.00
- Inside fridge, 1 × $35 = $35.00
- Estimate total $400.00
- Deposit due to book (25%) $100.00, balance on completion $300.00
- Optional add-ons, not included: carpet cleaning 2 rooms × $50 = $100.00, interior windows 10 × $8 = $80.00
Is this estimate generator safe to use?
Yes. The generator runs entirely in your browser:
- No uploads. Your estimate details and logo never leave your device. The page’s security policy blocks scripts from sending data anywhere.
- No account, no tracking. There are no analytics, ads or third-party scripts on this page, and no cookies are set.
- Safe logo handling. Only real PNG, JPG and WebP images are accepted — the file contents are checked, not just the name. SVG files are not accepted, and every logo is redrawn, which strips hidden metadata.
- Saving is your choice. Business details are only kept if you turn on Remember my business details, and only in this browser. They are shared with the invoice generator on this site, and Clear saved data removes them from both.
- Convert to invoice stays local. The data is passed to the invoice generator through this browser’s storage for a moment and deleted as soon as it is read — nothing goes in the web address or to a server.
