How to use the free invoice generator
- Add your business details and logo. Your name, address, phone, email and tax number (for example a GST/HST number in Canada or an EIN in the US) go at the top. Upload a PNG, JPG or WebP logo — it is resized and cleaned in your browser.
- Fill in who you are billing. Add the client’s name and billing address. If the work was done somewhere else — a rental unit, an office, a job site — tick Add a service or ship-to address.
- Set the invoice number, date and terms. Pick Due on receipt, Net 7 to Net 60, or a custom due date. Add a PO or job number if your client asked for one.
- Add line items. Use quick-add buttons like Standard cleaning or Labor hour, then set quantity, unit and rate. Mark which lines are taxable, and turn on per-line discounts if you need them.
- Add discount, taxes, fees and payments. Use one tax or two (for example GST + PST), add a trip charge or shipping, and enter any deposit already paid — the balance due updates instantly.
- Download the PDF or print. Choose Letter or A4, a template and an accent color. When the next job comes in, use Duplicate as new invoice to reuse everything with the next invoice number.

What to include on an invoice
A clear invoice gets paid faster and saves you back-and-forth with clients. These are the fields every service invoice should have:

Whether cleaning and other home services are taxable depends on your state or province, and sometimes on the type of service. Check your local rules — or ask your accountant — before you add sales tax, GST, HST or PST.
Payment terms: when to ask to be paid
The shorter and clearer your terms, the sooner you get paid. Typical choices for service businesses:
- Due on receipt — common for one-off residential jobs. Many cleaners charge the card on file the same day the job is done.
- Net 7 or Net 15 — a good fit for recurring residential clients billed weekly or every other week.
- Net 30 — what many commercial clients and property managers expect. Agree on it up front rather than accepting it later.
- Deposit + balance — useful for large jobs like move-out, post-construction or first-time deep cleans. Record the deposit in Amount paid so the invoice shows what is still owed.
Example: a cleaning invoice with GST and PST
A cleaning company bills a first-time deep clean with two add-ons, gives a 10% new-client discount, charges two taxes and has already taken a $100 deposit. The tax rates here are just an example — use the ones that apply to you.
- Deep cleaning, 1 visit × $340 = $340.00
- Inside oven, 1 × $45 = $45.00
- Carpet cleaning, 3 rooms × $45 = $135.00
- Subtotal $520.00, minus 10% discount ($52.00) = $468.00
- GST 5% = $23.40, PST 7% = $32.76
- Total $524.16, minus $100 deposit = balance due $424.16
Invoicing tips that get you paid faster
- Send the invoice the same day. The longer you wait after the job, the longer the client waits to pay. Invoice while the clean house is still fresh in their mind.
- Describe the work, not just the service name. “Deep cleaning — kitchen, 2 bathrooms, inside oven, Oct 3” answers questions before they are asked.
- Use one numbering system and stick to it. Sequential numbers like INV-0042 make it easy to spot missing payments and keep your books clean.
- Make paying easy. List every way you accept money — card link, bank transfer, check — in the payment instructions.
- Follow up on a schedule. A friendly reminder on the due date and another a week later recovers most late payments without awkward calls.
Is this invoice generator safe to use?
Yes. The generator runs entirely in your browser:
- No uploads. Your invoice details and logo never leave your device. The page is not allowed to send data anywhere — its security policy blocks all network requests from scripts.
- No account, no tracking. There are no analytics, ads or third-party scripts on this page, and no cookies are set.
- Safe logo handling. Only real PNG, JPG and WebP images are accepted — the file contents are checked, not just the name. SVG files are not accepted. Every logo is redrawn and resized, which strips hidden metadata such as camera or location data.
- Saving is your choice. Business details are only kept if you turn on Remember my business details, and only in this browser. Clear saved data removes them instantly.
